Responsibilities
- Help to ensure the COO’s time is spent in the most productive way through management of the COO’s calendar, including prioritization and resolution of the many and often conflicting demands for the COO’s time
- Manage full business activities of our COO, up to and including calendar
- Coordinate and schedule meetings, travel arrangements, and conferences
- Maintain a six-month look ahead master calendar for COO depicting key region, operating, and customer/site meetings
- Communicate information from the COO to executive leadership team for awareness, alignment and clarity
- Organize and prioritize business information for COO in preparation for executive reviews, including confidential and non-routine data
- Maintain files, board meeting dates, correspondence, and presentations for historical reference
- Maintain current contact information for executives in support of COO communication and teaming
- Receive, screen, and direct incoming calls, and mail and email
- Support visitors as they come in for meetings with COO or executive team
Profile
- Solid experience at an executive administrative level or solid experience in an administrative support position
- Ability to work independently or in cross functional teams
- Excellent customer service, teamwork, and interpersonal skills
- Change leader; able to confront and handle ambiguity, and steady under pressure
- Ability to interface effectively with all levels of the organization
- High energy, self-starter
- Positive spirit and purpose driven with strong desire for global impact on people and our world
- Strong oral and written communication skills, including on emails on behalf of the COO
- Strong executive communication skills and judgment in decision making
- English proficiency required and German fluent
